Data Deletion Policy

This Data Deletion Policy explains how citizens and platform users can request the deletion of their account and personal data from Swarajya AI citizen service applications, and describes what data will be deleted and what may be retained in accordance with legal and government record-keeping requirements.


Web Request Flow

To request deletion of your account and personal data via email:

  1. Send an email to hello@swarajya.tech
  2. Use the subject line: Account Deletion Request
  3. Include in the email body:
    • Your registered mobile number or email address
    • The name of the application or service you used
    • A brief description of your request

We may contact you to verify your identity before processing the request.


What Gets Deleted

Upon verification and processing of a deletion request, we will delete or anonymise:

  • Your account profile (name, email address, mobile number, address)
  • Authentication credentials and login history
  • AI assistant conversation history
  • Application usage logs associated with your account identity
  • Uploaded photographs, documents, or media submitted for service requests that have been closed

What Is Retained

Certain records may be retained beyond your account deletion due to legal, regulatory, or government record-keeping obligations:

  • Grievance and service request records: Submitted grievances and government service requests may be retained as official government records. The government body is the data fiduciary for such records and determines their retention period per applicable rules.
  • Payment transaction references: Payment reference numbers, transaction IDs, and civic fee records may be retained for audit and reconciliation purposes.
  • Audit trails: Officer actions, approvals, status updates, and workflow audit logs form part of government operational records and are retained accordingly.
  • Legal and dispute records: Records subject to a pending legal dispute, audit inquiry, or regulatory investigation will not be deleted until the matter is resolved.
  • Anonymised analytics data: Aggregated, de-identified usage analytics that cannot be linked back to you individually are not subject to deletion.

Timeline

We aim to complete verified deletion requests within 30 calendar days of receipt. You will receive a confirmation email when the deletion is processed.

For requests that involve government records subject to retention obligations, we will notify you of the categories of data retained and the legal basis for retention.


Compliance

This policy is maintained in compliance with:

  • India's Digital Personal Data Protection Act, 2023 (DPDP Act)
  • Google Play Developer Policy — Account Deletion Requirements: apps that support account creation must offer both an in-app account deletion path and a publicly accessible web deletion request mechanism
  • Apple App Store Guidelines — apps that support account creation must offer users the ability to initiate account deletion from within the app

Analytics Data Deletion (Marketing Website)

Scope

This section covers GA4 Client ID-keyed measurement data collected on swarajya.tech via Google Analytics 4, loaded through Google Tag Manager. It does not cover data held in citizen service applications — use the web request flow above for that.

What to send us

Email hello@swarajya.tech with the subject line: GA4 data deletion request

Include at least one of the following so the team can locate your records:

  • The value of your _ga cookie — a string starting with GA1.. To find it: open your browser's Developer Tools (F12 or right-click → Inspect), go to the Application tab → Storage → Cookies → swarajya.tech, and copy the value next to _ga.
  • Approximate date range of your visits and the browser you used, if you cannot access the cookie value.

What we do (runbook)

  1. Acknowledge the request by reply within 2 working days of receipt.
  2. Sign in to analytics.google.com and open property G-FC86RK6RN3 → Admin → Property Settings → Data Deletion Requests.
  3. Select Delete all properties of a user and enter the GA4 Client ID. The _ga cookie value is in the format GA1.<version>.<client-id> — the Client ID is the portion after the second dot (for example, GA1.1.123456789.1234567890 → Client ID is 123456789.1234567890). Enter that portion into the Client ID field. Refer to Google's User Data Deletion help if the expected format differs for this property.
  4. Confirm the request appears in the Data Deletion Requests queue with status Scheduled.
  5. Reply to the user confirming the request is queued. Note that Google processes deletion within 63 days of queuing, and that we aimed to queue within 7 working days of their email.
  6. Log the request in the team's internal deletion register (for example, a shared spreadsheet or Airtable base) with: date received, requester email, Client ID submitted (or date range used), date queued, and confirming reply date.

Timeline

We aim to queue the deletion request within 7 working days of receiving the user's email. Google's processing takes up to 63 days from the date the request is queued. Users are informed of both timeframes in the acknowledgement reply.

Revisit threshold

If deletion requests consistently exceed approximately 10 per month, the manual process should be replaced with automated deletion via the GA4 User Deletion API. Raise a separate follow-up task with the engineering team at that point.
